FLS offers baby and maternity supplies, parenting classes, support for healthy relationships, individualized care for women who have experienced pregnancy loss through miscarriage or abortion, and a scripture-based peer sharing group. Client Services Manager

Job Description

The position carries a high level of responsibility for training, evaluating, and overseeing all client services and client-related volunteer activities at Family Life Services. The person in this position interacts with all other positions and will supervise and train unpaid volunteers and a part-time paid staff member.

Responsibilities include:

  • Follow the Mission Statement, Statement of Faith, Handbook, and all of the guiding principles of Family Life Services’ ministry.
  • Keep informed about life-affirming and pro-life issues.
  • Cultivate a positive teamwork ethic. Embody and communicate a client-focused mission in upbeat, helpful ways.
  • Participate in all Family Life Services events including training, appreciation, volunteer, staff and fundraising events.
  • With Office Manager, maintain the accuracy, confidentiality, filing, and storage of all client files and serve as a backup taking staff meeting notes.
  • Attend weekly staff meetings and on-site, monthly prayer group.
  • Cross-training, special projects and other duties as assigned.

Volunteer Support:

  • Set the tone for on-site volunteers to interact with clients and other volunteers in loving, peaceful and helpful ways.
  • Pray with and update volunteers and staff at the beginning of each shift.
  • Train and supervise volunteer counselors. Model lead-counselor attributes, which may include seeing clients, or shadowing other volunteer counselors.
  • Collaborate with Assistant Director to create and implement ongoing and improved training & reference materials.
  • Ensure volunteers have effective client interactions and follow-up. With Executive Director perform annual evaluations for volunteer counselors.
  • Relay relevant information from staff meetings and center calendar to the entire volunteer team via email on a weekly basis.
  • With Assistant Director, co-lead bi-monthly volunteer, board and staff in-services, ensuring that each includes: fellowship, training and feedback opportunities.
  • Lead, plan and ensure that at least 2 volunteer appreciation opportunities occur annually.
  • With Executive Director and Assistant Director, establish hours of FLS operation and suggest an expansion of current programs or potential new programs.

Client Support:

  • Streamline client intake, visit and tracking procedures with online client database.
  • Coordinate with Nurse Manager to provide needed information for pregnancy tests, refer clients for prenatal vitamins and ultrasounds and review miscarriage precautions.
  • Coordinate with Assistant Director to ensure volunteer procedures, practices and training materials account for:
    • A high level of integrity, fairness, and equity in dealing with clients
    • The prayerful and merciful treatment of exceptions to stated guidelines
    • A focus on long-term solutions for clients * Uphold stated guidelines and program goals while adequately addressing escalated client concerns.
  • Consult with and train counselors on Points Exempt Evaluations for high-needs and language-challenged clients.
  • With Assistant Director, create and maintain a system to analyze client data trends and plan for better data tracking to identify areas of strength and weakness in current client programming.
  • Supervise and closely collaborate with the Education Coordinator to ensure education program content and topics reflect and are responsive to identified client needs.
  • Supervise and support the volunteer material goods manager and volunteers. Uphold and update guidelines for our material assistance program.
  • Report qualitative education program successes in the monthly blessings document and prayer requests notebook. Coordinate with staff to get these out monthly.

Resources:

  • Keep client community resources up to date. Expand information available to clients and present it in a user-friendly and effective way.
  • Recommend and facilitate external training opportunities for current receptionist and counselor volunteers to expand their operational knowledge and support of clients.
  • Maintain an informed working relationship with all of the agencies that we provide as resources to our clients.
  • Implement and establish the use of an adoption support toolkit and post-abortion healing ministry, including adequate counselor training and other staff support.

Qualifications:

  • Bachelor’s degree required. Social Work, Psychology or Communications preferred.
  • Minimum 2 years of client/customer support experience.
  • This position qualifies for MSW – Masters in Social Work licensing hours.
  • Ability to effectively work with people from diverse backgrounds and with diverse personalities.

  • Closely collaborate with the Education Coordinator to update the client contact list and send out weekly education class reminders via text.

Position: Development Manager

Reports to: Executive Director

Compensation: $14/hr, paid bi-weekly

Hours per week: 10 – 15 hours

The position carries a high level of responsibility for growing and nurturing our relationship with major donors, supporting congregations, supervising fundraising events/lead volunteers, and online giving to support an annual operating budget of $280,000.

Responsibilities include:

  • Keep informed about life-affirming and pro-life issues.
  • Participate in Family Life Services events, including training, appreciation, volunteer, staff and fundraising events.

Analysis and Reporting:

  • Assist the Executive Director in the formulation of an annual fundraising plan, fundraising events calendar and schedule for donor communications in order to maximize contributions and minimize costs.
  • Establish reporting and contribution metrics to set appropriate goals and accurate measures of success in the areas of donor retention, major gifts, securing new donors and the success of fundraising events.
  • Work closely with the Office Manager/Finance Data Entry volunteer to ensure that donation processing and reporting systems are effective and accurate.
  • Measure the effectiveness of all donor communications.
  • Secure underwriters and monitor budgets and expenses for fundraising events, programs and mailings.

Fundraising:

  • Set goals for fundraising events, including the Annual Gala and Walk for Life, supervise and support lead event volunteers to execute event plans and accomplish pre-established event goals.
  • Develop and carry out major fundraising campaigns (i.e. capital campaign, matching gift drives) and advances major gifts to meet pre-established goals.
  • Strategically plan and build relationships with potential private donors and cultivate current relationships with established private donors to meet pre-established goals.
  • Communicate diversified fundraising options to donors and ensure that donations are labeled and processed in a way that optimizes meeting organizational needs while still enabling the sharing of the direct impact of funds received.

Supervision:

  • Supervise and collaborate closely with finance data entry volunteers, social media/webpage volunteers, lead Baby Bottle Boomerang volunteer, lead communications volunteer, graphic design volunteers, and lead event volunteers to accomplish those responsibilities and serve as backup, if needed.

Community Liaison:

  • Seek out fundraising and sponsorship opportunities by supporting the lead Baby Bottle Boomerang volunteer, working with church liaisons, other pro-life groups, business partners and community organizations.
  • Professionally represent the organization through prepared presentations.
  • Research grant opportunities and assists the Executive Director with grant writing strategy. Writes grant requests as assigned.

Critical Skills/ Qualifications:

  • Bachelor’s degree in Communications, Journalism, Marketing, Non-profit Management or Business, or equivalent, relevant work experience.
  • Minimum 2 years fundraising experience.
