Family Life Services of Washtenaw County is a Christian, pro-life 501(c)3 non-profit serving the greater Ypsilanti area for 35 years. We empower women to make informed, life-affirming choices by providing free: pregnancy testing, ultrasounds, education on pregnancy options, resources and referrals. FLS offers baby and maternity supplies, parenting classes, support for healthy relationships, individualized care for women who have experienced pregnancy loss through miscarriage or abortion, and a scripture-based peer sharing group. We are a donation and volunteer-based ministry.

The position carries a high level of responsibility for training, evaluating and overseeing all client services and client-related volunteer activities at Family Life Services. The person in this position interacts with all other positions and will supervise and train unpaid volunteers.

Responsibilities include:

  • Follow the Mission Statement, Statement of Faith, Handbook, and all of the guiding principles of Family Life Services’ ministry.
  • Communicate with staff, volunteers, and donors about life-affirming issues in an informed way
  • Cultivate a positive team work ethic. Embody and communicate a client-focused mission in upbeat, helpful ways.
  • Participate in all Family Life Services events, including: training, appreciation, volunteer, staff and fundraising events.
  • With Office Manager, maintain accuracy, confidentiality, filing, and storage of all client files and serve as a backup taking staff meeting notes.
  • Maintain the client services email address and respond to program-related inquiries.
  • Attend weekly staff meetings and collaborate across department functions.
  • Cross training, special projects and other duties as assigned.

Volunteer Support:

  • Set the tone for on-site and off-site volunteers to interact with clients and other volunteers in loving, peaceful and helpful ways.
  • Pray with and update volunteers and staff at the beginning of each shift.
  • Train and supervise volunteer counselors/peer advocates. Model lead-counselor attributes, which may include seeing clients, or shadowing other volunteer counselors/peer advocates.
  • Collaborate with Assistant Director to create and implement ongoing and improved training & reference materials.
  • Ensure volunteers have effective client interactions and follow-up. With Executive Director perform annual evaluations for volunteer counselors/peer advocates.
  • Relay relevant information from staff meetings and center calendar to entire volunteer team via email on a weekly basis.
  • With Assistant Director, co-lead bi-monthly volunteer, board and staff in-services, ensuring that each includes: fellowship, training and feedback opportunities.
  • Recommend and facilitate external training opportunities for current receptionist and counselor/peer advocate volunteers to expand their operational knowledge and support of clients.
  • Lead, plan and ensure that at least 2 volunteer appreciation opportunities occur annually.
  • With Executive Director and other staff, establish hours of FLS operation and suggest expansion of current programs or potential new programs.

Options Counseling Client Support:

  • Streamline options counseling phone calls, client intakes and visit procedures by supporting the expanded use of our current client database system.
  • Prepare for a future change to an improved client database system
  • Work closely with the Nurse Manager to establish best practices and the most effective client practices for pregnancy testing and options counseling, leading changes where needed.
  • Coordinate with Assistant Director and Nurse Manager to ensure volunteer procedures, practices and training materials account for: a high level of integrity, fairness and equity in dealing with clients.
  • With Assistant Director and Nurse Manager, create and maintain a system to measure and analyze client data trends and plan for better data tracking to identify areas of strength and weakness in current client programming.

Material Assistance & Referrals Client Support:

  • Supervise and support the volunteer material goods manager and volunteers. Uphold and update written guidelines to our material assistance program.
  • Enforce guidelines and program goals while adequately addressing escalated client concerns and mercifully making appropriate exceptions
  • Consult with and train counselors/peer advocates on Points Exempt Evaluations for high-needs and language-challenged clients.
  • Maintain an informed working relationship with all of the agencies that we provide as resources to our clients.
  • Keep client community resources up to date. Expand information available to clients and present it in a user-friendly and effective way.
  • Implement and establish the use of an adoption support toolkit and post-abortion healing ministry, including adequate counselor/peer advocate training and other staff support.

Qualifications:

  • Minimum 2 years of client/customer support experience.
  • Christian, non-profit, small company experience preferred.
  • This position qualifies for MSW - Masters in Social Work licensing hours.
  • Excellent verbal communication skills, including conflict management.
  • Strong emotional intelligence, customer service ethic and interpersonal skills.
  • Ability to effectively work with people from diverse backgrounds and with diverse personalities.
  • Comfortable working in an ambiguous, fast-paced environment with several competing priorities.
  • High expectations for quality work, mentoring relationships and collaboration across department functions.
  • Prefer experience in collecting and basing decisions on client data.
  • BA in Social Work, Psychology or Communications preferred.

FLS Community:

  • Report qualitative education program successes with an internal “monthly blessings” document.
  • Contribute to and compile monthly prayer requests and send to FLS Prayer Team.

Education Program:

  • Maintain and ensure coverage for an education calendar, including all class or video facilitators, class/video set-up and clean up.
  • Maintain snack supplies for classes.
  • Send weekly education class reminders via text.
  • Write lessons plans for Share Group facilitator and Play n’ Learn volunteers, if not already in place.
  • Ensure that topics, program content and instructors support FLS’ mission, are high-quality, client-centered and responsive to identified client needs.
  • Communicate with clients about available curriculum and program guidelines.

Collaborate with CSM to:

  • Ensure education volunteer coverage during class
  • Provide adequate tools for advocates to introduce clients to education program.
  • Consistently uphold program guidelines to avoid unequal treatment of clients
  • To accurately track client attendance, points and program impact:
    • Train volunteers
    • Support the Office Administrator who will supervise volunteers doing this during class
    • Double-check and ensure accuracy of data at the end of each class
  • Create metrics that reflect reality and promote donor support.
  • Support changing education data to be managed in an online database.
  • Support a transition to a low-contact web-based education program.
  • Orient, train, and supervise education volunteers to safely interact with clients through digital media.
  • Ensure on-line education program reference/training materials are accurate and updated.
  • Supervise education volunteers and engage with other staff in an upbeat, helpful way.

Communications:

  • Ensure a monthly e-newsletter and at least quarterly print donor communications/newsletters
  • Coordinate the production and distribution of the Annual Report
  • Ensure timely memorial cards, thank you cards and letters to donors
  • Coordinate FLS internet-based presence: webpage updates, social media posts, blog posts, outreach to pregnant women including daily posts to at least one platform
  • Ensure adequate volunteer coverage for bulk mailings and digital communications
  • Support an accurately maintained communications database
  • Evaluate current electronic communications systems and recommend & implement improvements
  • Provide quarterly evaluation of communications impact and suggest recommendations for ongoing improvements

Represent FLS:

  • Speak in the community at events, as assigned, sharing FLS mission to potential clients, volunteers, donors and community partners
  • Interface with other community organizations, including churches and student groups, in order to acquaint other social services agencies with the services FLS provides and to familiarize FLS with other social service agencies & programs in the area that could serve our clients
